Spokane Housing Authority (SHA) faced the challenge of digitizing their tenant files for use in their new document management system and to allow their employees to access files from home. DocuDriven scanned the files onsite while allowing the housing authority to have access to files throughout the scanning process. Prestige Care provides Assisted Living Facilities and Nursing Home Services throughout the western U.S. and receives approximately 2,000 bills a month at their Central Support Services location. The Oregon Department of Transportation (ODT) had many years worth of paper documents stored in file cabinets that needed to be digitized to create more efficiency for today’s employees. “Bruce and the team at DocuDriven helped ODOT Region 3 make our file cabinets relevant again. Verdant Web Technologies provides software for keeping track of Asbestos and Lead information. They were looking for a trusted partner to help them convert Asbestos and Lead data found on paper, in PDF’s and from other databases, into their software for their client’s use. They chose DocuDriven to partner with in providing these services, leading to the successful completion of their desired project.

Dr. Michelle Jackson was converting to an Electronic Medical Records (EMR) system and wanted to get rid of her physical medical records in the office. Dr. Jackson chose DocuDriven to come on-site and scan her active files. DocuDriven also scanned her inactive files off-site. Both of these digitized records were then uploaded into her new EMR system and attached to her electronic patient records.

The Portland Firefighters’ Association had filled their storage space with old papers and needed to transition to a paperless system. DocuDriven scanned their paper files and helped them begin accessing documents digitally. With the new digital system, the employees use the word search feature to find the documents they need and they have confidence knowing the scanning was done correctly. According to Travis Chipman, Secretary & Treasurer, they received “the friendliest, customer driven attitude with a reasonable price.”

The double review process that DocuDriven completed ensured accuracy and quality control for client files. Shelly also added that, “if I have a rush job, [I know] they will put additional people on task to ensure accurate completion by the target date.”

ZincFive needed to digitize many of their accounting records so they could access them electronically. The DocuDriven helped them to get their records scanned.  After the project was complete, Jenna Sawyer from ZincFive reported, “We can now access our records with searchable features, which makes life easier since we are all working remotely now.  Very pleased with how easy, convenient and affordable it was!”

The Ronald McDonald House Charities of Idaho, Inc. chose to have DocuDriven scan their hardcopy files to allow their employees to access files more easily and keep more accurate records. “We still had the requirement to complete our annual audit and because we had all our 2019 payables scanned, I was able to get the required information to the auditors without delay or being in the physical office,” reported Ramona Dopps, Data and Administrative Director.

Seafood Producers Cooperative (SPC) was struggling to find paper files in a timely manner inside their large storage facility and they frequently encountered errors with their invoice management process. Sherri Willand, the Accounts Receivable Administrator, explained, “We could no longer grow as a sustainable company if we continued to be inundated with paper.” SPC worked with DocuDriven to begin inputting files in PaperVision. Over time, DocuDriven scanned more than 600,000 client files and SPC was able to switch over to PaperVision’s secure online invoice and client file management system.

The Amalgamated Sugar Company had an overwhelming number of paper files that slowed down work processes and took up too much space, and they needed to create an online system for their Accounts Payable documents. “What is the main reason we put this off so long? We thought it would take a long time, and have a high cost, to have someone else scan all our important documents. DocuDriven made both issues disappear,” said Linda Sue Graff, the company’s AP Supervisor.
